How to Create a Project and Organize Your Videos in Scoutzera
If you're briefing an editor on more than one video at a time — a YouTube series, a product launch campaign, a batch of social cuts — a project keeps everything together. One project holds the videos, the shared brief, and a single share link that gives your editor access to everything.
What a project is
A project is a container for related videos plus a shared brief. Every video attached to the project is accessible through the project's share link — your editor opens one URL and sees the full video grid along with the project brief at the top. This is the right layer for context that applies across all the videos: the overall tone of the campaign, the technical specs your editor needs to follow for every deliverable, the deadline, the output format requirements.
A project doesn't replace per-video timestamped notes. Those notes live on the individual video and are visible when your editor clicks into any video in the project grid. The project adds a layer above the individual videos — a place for the shared context that would otherwise have to be repeated (or forgotten) on every video separately. Think of it as the cover page of the brief, and each video's notes as the chapter-by-chapter edit instructions.
Creating a project
Navigate to the Projects page from the sidebar and click "Create Project." A modal opens with two fields: a title (required) and an optional description. The title is what appears on the project card in your grid and in your editor's shared view — make it something identifiable: "October Launch — Social Cuts" beats "Project 4." The description is just for your own reference in the project grid; it doesn't appear in the editor's shared view.
Click Create. The project card appears in the grid immediately. From this point on you can open the project, attach videos, and write the project brief at any time — you don't need to do everything in sequence before you start annotating or sharing.
Attaching videos to a project
Open the project by clicking its card, then click "Attach Videos." A modal opens with two tabs: Existing and Upload New. The Existing tab shows all your uploaded videos that aren't already attached to a project — select one or more with the checkboxes and confirm. If you haven't uploaded the videos yet, the Upload New tab lets you upload directly into the project without going back to the Videos page first.
Attached videos appear in the project's video grid immediately. Click any video card to open its notes page and start leaving timestamped notes on that cut. The project structure doesn't change how individual video annotation works — you're still scrubbing through the video and pinning notes to timestamps. The project just means all those videos and their notes are reachable from one shared URL.
Managing videos in a project
To remove a video from the project, click the × button on its card in the project grid. The video returns to your main library but is not deleted — its notes stay intact. If you reattach the video to the same project later, the notes reappear exactly as you left them. One video can only be in one project at a time, so detaching it also makes it available to attach to a different project if needed.
You don't have to finalize the video set before you start working. Attach the first rough cut, annotate it, share the project link — and add the next video when it's ready. The project brief and share link persist, and your editor will see the new video the next time they open the link.
Editing and deleting a project
To rename the project or update the description, click the edit button in the project header. The title and description fields open inline — save when you're done. The updated title appears immediately in your grid and in your editor's shared view.
To delete a project, click the delete button in the project header and confirm the prompt. Deleting a project removes the project container — the share link stops working immediately — but it does not delete the videos or their notes. Every video that was attached to the deleted project returns to your main library with all its notes intact. If you want to clean up the videos too, you'll need to delete them separately from the Videos page.
Organize your next batch in one place
